Planning to book one of Council's Venues and have questions?

This FAQ is designed to make your planning process smoother by answering the most common questions about our spaces and booking process.

GENERAL

How can I view the venue before making a booking?

All venues are available to view through our virtual tours on the Venues for Hire page.

As our venues are unstaffed, we will try our best to accommodate in-person site inspections, if required (subject to availability). Please call the Venues management team on 02 9121 0277 (Mon-Fri 8:30am – 4:00pm) or send an email to venues@canadabay.nsw.gov.au.

Can I hire a venue for a 18th or 21st birthday party?

No, Council does not permit 18th or 21st birthdays.

Does my booking require security?

The following venues require security:

The Connection, Event Spaces & Meeting Spaces:

  • Security is required for any bookings that have 100 guests or more.
  • Security is required for any bookings if alcohol is being served.
  • Security is required for any bookings ending after 5pm on Friday, Saturday, Sunday.

Concord Oval, Canadian Exiles Rooms:

  • Security is required for any bookings that have 100 people or more and are finishing after 9:00pm, regardless of if alcohol is being served.

Note: Council reserves the right to impose security guards for any bookings the venues team deem necessary. These fees will be charged to the hirer (as outlined in Council’s Fees and Charges)

Can I book Cabarita Conservatory or The Connection Event Space for the whole day?

Hirers are able to book from 7am until 11pm Monday- Friday. Due to the high-demand on the weekend (Saturdays & Sundays), bookings are only available for either a day (7am–4pm) or evening (4pm–11pm) booking. This allows the venue to be used by multiple members of the community.

What parking options are available for my guests?

Each venue has its own parking options (Refer to the venue fact sheets for further information)

How do I make a booking?

Make a booking online on the online bookings portal.

You will be required to create a profile and register as a customer before making a booking, instructions on how to do this are located on our Bookable how-to guide.

VENUE INCLUSIONS

What equipment or amenities are included in the venue hire?

All venues are unstaffed and the hire generally only includes the venue and tables and chairs.

Which venues have audio visual?
  • The Connection Event Spaces: each room has built-in screens & projectors, handheld microphone, and ability to connect to sound system through AUX. 
  • The Connection Meeting Rooms, each room has a built-in screen & projectors, and ability to connect to sound system. 
  • Concord Oval Canadian Exiles Rooms, each room has a built-in screen, & projector, handheld & lapel microphones, and ability to connect to sound system through AUX or Bluetooth.
  • Concord Oval Sunnyside Meeting Rooms, each room has a built-in screen and webcam for meetings, with connection via USB cable
  • Drummoyne Oval Greg Davis Stand, which has built in screen, ability to connect to sound system. A handheld microphone is available on request.

ACTIVITIES AT VENUES

Can I have a jumping castle?

Jumping Castles are permitted at the following venues and the supplier must have a current public liability insurance (minimum $20 million).

  • The Connection, Event Space 1 or 2: Inside the venue, must be less than 3m in height.
  • Cabarita Conservatory: Only permitted on grass area in front of the Conservatory, dimensions must not exceed 5m x 5m and must be weighted down. Digging into the ground is not permitted.
  • Concord Community Centre: Only permitted on the grassed area outside the venue.
Can I bring my pet or have a petting zoo?

Pets and animals (including petting zoos) are not permitted, except for guide dogs or assistance animals.

Can I have Candles, fireworks or smoke machines?

Candles, fireworks and smoke machines are not permitted. Incidents causing the smoke alarm to be activated will incur a fire brigade callout fee as per Councils Fees and charges

Candles on birthday cakes are permitted under direct supervision of the hirer.

HIRE FEES, PAYMENTS & CANCELLATION

Do you offer reduced venue hire on your venues?

Reduced hire fees are available for Non-For Profit groups or charities, and are listed on the venue fact sheets as ‘Category 2’ charges. In order for this reduced fee to apply, evidence must be supplied such as;

  • Australian Charity Number (ACN).
  • Certificate of Incorporation.
  • Public liability certificate.
What is the cancellation policy?

The cancellation policy is as follows;

  • More than 4 weeks prior to booking date: All fees are refunded
  • Less than 4 weeks prior to booking date: 50% of room hire is forfeited
  • Less than 2 weeks prior to booking date: 100% of room hire is forfeited
When does the payment need to be made?

The due dates for each payment are listed on the invoice.

How can I pay for my booking?

Payment for your booking is via:

When do I get my bond back?

At the first possible opportunity, the Venues team will inspect the venue for any damage or issues. The team will then contact the hirer via email to confirm bond release or partial/full retainment. This is generally the Tuesday following your booking.

If paid via credit card, the bond will be returned to the credit card used to make payment. This can take 1-2 business days once processed by the venues team.

If paid via BPAY, it may take up to 5-10 business days once processed by the Venues team.

KEY/SWIPE PASS & ACCESS TO THE VENUES

When can I collect the keys/swipe card?

The Venues team will contact you via email to advise when the keys/swipe card is ready for collection. This is generally the Tuesday prior to your booking.

Can I access the venue outside of my hire times?

No, access to the venue is only permitted as per the dates and times listed in the booking confirmation. Access to the venue outside of the hours booked may result in the forfeiture of the bond and/or additional charges.

Can I set up or decorate the day before?

This depends on venue availability and all time is chargeable. Council does not recommend keeping high value items in the venue overnight.

CATERING

Can I bring in external catering?

Yes. Please note, not all venues have kitchen facilities available.  For further information on venue inclusions, please refer to the relevant Venue Fact sheet for more information.

Can I have a food truck for my booking?

Food trucks are only permitted at specific venues in designated areas.

  • Cabarita Conservatory has a designated paved space for one food truck with access to power.
  • Concord Community Centre 1 x food truck is permitted however must park within the bays of the dedicated carpark
  • Rhodes Community Centre 1 x food truck is permitted however must park within the bays of the dedicated carpark

Refer to the terms and conditions for the relevant venue to check if food trucks are permissible for the venue you are interested in.

Can I bring my own appliances (e.g., microwave or air-fryer)?

Hirers are not permitted to plug in their own appliances. If an exemption is required, the hirer must submit a written request to venues@canadabay.nsw.gov.au, including evidence of tagging and testing records.

Can I have alcohol served during my booking?

Yes, Alcohol can be served in venues in accordance with Responsible Service of Alcohol laws. A Safe Party Registration must be completed with NSW Police, and a copy of the registration must be supplied to the venues team prior to the booking.
